A confiança passou a fazer parte do negócio

The real issue is quite different:

“Se um cliente me pedir hoje evidências das minhas práticas de cibersegurança, estarei preparado para responder?”

É essa resposta que poderá fazer a diferença entre continuar a fazer parte da cadeia de abastecimento ou ver uma oportunidade de negócio passar para outro fornecedor.

Quer perceber se a sua empresa está preparada para responder às exigências dos clientes e da cadeia de abastecimento?

What needs to change upon our return

September marks the return to routine. Teams are heading back to work, resuming projects, answering piled-up emails and looking to get back into the swing of things after the holidays.

But there is one aspect that many companies continue to put on the back burner: cybersecurity.

The truth is that the post-holiday period is one of the most favourable times to review processes, correct flaws and implement best practices. After all, if we take advantage of the return to work to set objectives, reorganise teams and plan the coming months, why not do the same with IT security?

At Quantinfor, we regularly carry out cybersecurity audits and assessments for SMEs across different sectors of activity. Despite the differences between companies, there are mistakes that crop up time and time again.

1. Updates delayed for too long

It is common to find computers, servers and network equipment with pending updates for weeks or even months.

In many cases, these updates have been postponed to avoid work interruptions. The problem is that every delayed update can represent a known vulnerability exploited by cybercriminals.

The back-to-work period is an excellent time to confirm that all systems are up to date and protected.

2. User accounts that should no longer exist

Employees who have changed roles, left the company or no longer require certain access rights often continue to maintain active accounts.

These accounts represent an unnecessary risk and could be exploited if credentials are compromised.

September is a good time to review permissions and ensure that each user has only the essential access rights.

3. Weak or reused passwords

Despite all the existing awareness, it remains common to find simple passwords or ones used across multiple platforms.

A single compromised credential can open the door to multiple company systems.

Whenever possible, implement strong passwords and enable multi-factor authentication (MFA).

4. Backups that exist… but have never been tested

“We have backups.”

This is probably one of the phrases we hear the most.

The next question usually is: “When was the last time you tested the recovery of these backups?”

The silence that follows speaks volumes.

A backup only truly protects a company when the information can be recovered quickly and with complete integrity.

5. Network-connected equipment without any monitoring

Old computers, printers, NAS drives, Wi-Fi access points or other devices remain switched on for years without any monitoring.

Every forgotten piece of equipment is a potential gateway for an attack.

Having visibility over everything connected to the infrastructure is one of the first steps to reduce risks.

6. Lack of staff training

Technology evolves, but so do attacks.

Currently, many cyberattacks begin with a simple phishing email or a seemingly legitimate message.

Without continuous training, any employee can inadvertently become the organisation's most vulnerable link.

Investing in staff awareness continues to be one of the measures with the highest return in the area of cybersecurity.

Cybersecurity is like maintaining a tractor

In the agricultural sector there is a simple rule: nobody waits for a tractor to break down in the middle of the harvest to decide to do the maintenance.

Servicing is carried out in advance because an unexpected stoppage could compromise the entire production.

The exact same thing happens with IT infrastructure.

Waiting for an incident to happen in order to discover flaws is always more expensive, more time-consuming, and much more damaging to a company's business.

Prevention remains the best investment.

What should you do upon this return to work?

Make the most of the start of September to carry out a security review for your business.

Some actions can make all the difference:

Confirm that all equipment is up to date.

Review user access and permissions.

Verify the operation of the backups.

Check if multi-factor authentication is active.

Update the incident response plan.

Promote awareness-raising actions among employees.

Assess the need for continuous infrastructure monitoring.

Minor improvements implemented today can prevent major problems in the coming months.

Start the new cycle with a better protected company

Just as we do a financial review or set new goals after the summer, cybersecurity also deserves a periodic review.

The companies that manage to prevent incidents are not necessarily the ones that invest most in technology. They are often the ones that maintain consistent processes, fix small flaws before they become major problems, and continuously monitor the state of their infrastructure.

Returning from holiday is the ideal opportunity to take that step.

Want to know your company's security level? Schedule a chat with the João Mota and discover how an assessment can help identify risks before they impact your business.

Who has to comply and what are the deadlines for companies?

Cybersecurity is no longer exclusively an issue for large organisations. With the rise in cyber attacks and the increasing digitalisation of businesses, Small and Medium-sized Enterprises (SMEs) are also facing new challenges and responsibilities today.

In this context, the MyCiber, the platform made available by National Cybersecurity Centre, plays an important role in the implementation of the NIS2 Directive in Portugal, enabling organisations to communicate essential information about their activity and legal framework.

But what is MyCiber after all? Who is covered? And what deadlines must companies meet?

What is MyCiber?

O MyCiber it is the online platform created by National Cybersecurity Centre which allows Portuguese organisations to interact with the national cybersecurity authority.

Through this platform, organisations can:

Registering as entities covered by the legislation;

Update organisation details;

Report cybersecurity incidents, where applicable;

Manage the obligations set out in the new legal framework of the NIS2 Directive.

In practice, MyCiber will be the main communication channel between the covered companies and the CNCS.

Why was this platform created?

The creation of MyCiber is directly related to the entry into force of the NIS2 Directive, which has significantly reinforced cybersecurity requirements across the European Union.

Automated out-of-office replies make communication with clients and partners easier, but they must be set up with some care.

Compared to the previous NIS Directive, NIS2:

It covers a much larger number of companies;

It introduces new risk management obligations;

Reinforces the responsibilities of top management;

Demand more rigorous incident reporting processes;

It provides for higher penalties in the event of non-compliance.

In Portugal, the CNCS will be the entity responsible for monitoring the implementation of these obligations, with MyCiber being one of the fundamental tools for this purpose.

Which companies may be covered?

One of the biggest doubts companies have relates precisely to this issue.

Many SMEs mistakenly assume that NIS2 only applies to large companies or critical infrastructure. However, this reality has changed.

The Directive may cover companies of different sizes, depending on factors such as: number of employees, turnover, sector of activity and importance of the services provided.

Even companies that are not directly covered may be called upon by their clients to demonstrate adequate levels of cybersecurity, particularly when they are part of the supply chain.

Find out via the button below all the companies that are covered. In doubtful cases, it is always advisable to register on the platform.

DISCOVER HERE

What happens if the company is covered?

Should the organisation be deemed an entity covered by NIS2, it will have to comply with several obligations, among which:

Implement cybersecurity risk management measures;

Develop internal security policies;

Define incident response procedures;

Assess risks associated with suppliers;

Promote employee training and awareness;

Report significant incidents within the legal deadlines;

Keep data up to date on the MyCiber platform.

In other words, making a registration is not enough. There is a set of ongoing responsibilities that should form part of the company's strategy.

What are the deadlines that companies need to know about?

This is one of the issues that most concerns managers.

Following the entry into operation of the MyCiber platform, entities that fall within the scope of the NIS2 Directive must proceed with their registration within the deadline defined by the CNCS.

In addition, whenever relevant changes occur within the organisation, such as changes to contact details, persons in charge or other mandatory information, these details must be updated on the platform.

Another critical point relates to the cybersecurity incident report.

The NIS2 Directive establishes very demanding deadlines for reporting significant incidents, providing for an initial notification within a short space of time after their detection, followed by supplementary reports as the investigation evolves.

For this reason, it is essential that companies have internal processes for incident detection, response and communication defined in advance.

Important: National regulation of the NIS2 Directive is still evolving. For this reason, companies must follow the guidance issued by the CNCS, as new requirements or updates to registration procedures may arise.

Is MyCiber just a registration platform?

No. Although many companies associate MyCiber only with mandatory registration, its purpose goes far beyond that function.

The platform has been designed to support the entire relationship between the covered entities and the CNCS, acting as a central point for:

Corporate communications;

Management of legal obligations;

Incident report;

Organisation information update.

Therefore, their role will become increasingly relevant as the implementation of NIS2 progresses in Portugal.

How can SMEs prepare?

Regardless of whether or not they are already covered, this is a good time for SMEs to assess their level of cybersecurity maturity.

Some priority measures include:

Identify whether the company falls within the scope of NIS2;

Assess existing technological risks;

Review internal policies and procedures;

Implement protection and monitoring solutions;

Ensure backups are carried out;

Regularly raise awareness among employees;

Create an incident response plan.

The earlier these measures are implemented, the lower the effort required to adapt to the new legal requirements.

The role of cybersecurity consultancy

For many SMEs, interpreting legislation and understanding which obligations apply can be a complex process.

An expert consultancy makes it possible to determine whether the organisation falls within the scope, assess the level of compliance and define an implementation plan tailored to the company's reality. Rather than merely complying with legal requirements, it is about reducing operational risks, protecting business continuity and strengthening the trust of clients and partners.

Conclusion

The MyCiber platform represents an important step in the implementation of the NIS2 Directive in Portugal and will be a central element in the relationship between the companies covered and the National Cybersecurity Centre.

Even though many SMEs are still not sure whether they are covered, ignoring this issue could lead to future difficulties, whether through legal imposition or the demands of clients and business partners.

No Quantinfor, we closely monitor the evolution of cybersecurity legislation and help companies identify whether they fall within the scope of NIS2, implement the necessary measures and prepare to comply with the new legal obligations.

How to prepare the holiday period without turning team absences into an opportunity for cyberattacks

With the arrival of summer and holiday periods, many companies naturally enter a different rhythm. Teams reorganise tasks, distribute responsibilities and activate the usual automatic email absence replies, known as Out of Office.

This is a simple, useful and perfectly recommendable practice. Informing clients, partners and suppliers that a particular employee is absent demonstrates organisation and professionalism. However, there is one aspect that does not always receive the attention it deserves: when they are not accompanied by the appropriate security measures, team absences can create opportunities for cyberattacks.

The problem is not with holidays; on the contrary, staff rest is essential for any organisation. The real risk arises when operational planning is not accompanied by technological planning that ensures the continuity and protection of systems.

A prepared company is one that allows people to switch off from work without security depending on the presence of each employee.

Preparing for a holiday is like closing down a shop

Imagine a shop that closes for a few days. Before locking the doors, it is natural to make sure everything is protected: check that the doors and windows are locked, activate the alarm, and ensure that the most important equipment and assets remain safe.

In the digital environment, the principle is exactly the same. The difference is that many of the entry “doors” are not visible and, therefore, easily go unnoticed.

These vulnerabilities can take various forms, such as email accounts without multi-factor authentication, poorly protected remote access, excessively assigned permissions, devices without the latest updates or accounts that remain active despite no longer being required.

During periods when there is a lower staff presence, small flaws like these can turn into opportunities for an attacker.

Your Out of Office might reveal more information than you think

Automated out-of-office replies make communication with clients and partners easier, but they must be set up with some care.

Often, these messages indicate the exact period of the employee's absence, identify who is replacing them, reveal internal contacts and end up exposing part of the company's organisational structure.

A message like:

“I am away until the 15th. For urgent matters, please contact my colleague João via joao@empresa.pt.”

It seems perfectly harmless. However, for an attacker, this information can serve as a basis for crafting a fraudulent email, impersonating an employee or exploiting relationships of trust within the organisation.

This does not mean that automated responses should stop being used. It simply means that they should convey only the strictly necessary information, avoiding the exposure of internal details that could be used maliciously.

Remote access requires extra vigilance

Holidays also mean greater mobility. Many employees continue to access company systems from home, hotels, airports or public Wi-Fi networks, sometimes using personal devices.

This flexibility represents an advantage for modern businesses, but requires additional protection measures. Remote access without proper safeguards can be compared to handing over a company key without knowing exactly who might be able to use it.

To reduce this risk, it is advisable to use multi-factor authentication, use a VPN whenever necessary, keep equipment updated, set up automatic device locking and define clear policies for remote access to business systems.

The accounts of absent employees continue to be a target

When an employee is on holiday, their respective account remains active and is often no longer monitored with the same attention. Attackers know this reality and seek to exploit it.

A compromised account can pave the way for access to emails, documents, internal applications, financial information or customer data, making it an entry point for broader attacks.

For this reason, it is essential to regularly review the permissions assigned to each user, ensure that mechanisms are in place to detect suspicious activity, adjust privileges to the roles performed and delete old accounts or those that are no longer needed.

The principle should be simple: each employee must have only the access essential to perform their duties.

Social engineering becomes even more effective during the holidays

Periods of absence also favour social engineering attacks, especially those that exploit urgency and trust among colleagues.

It is common for messages that appear to have been sent by a company manager to appear with urgent requests, such as making a bank transfer or immediately sending important documentation.

When fewer people are available to confirm these requests and the pressure to resolve matters quickly increases, it becomes easier for an employee to be misled.

Although technology plays an essential role in protecting organisations, staff awareness continues to be one of the most effective ways to prevent this type of attack.

Before the holidays: five essential checks

A simple preparation can significantly reduce risks during periods of absence. Before the holidays begin, it is worth confirming a few key aspects:

Review access and permissions, ensuring that only the necessary users retain access to the systems.

Update equipment and applications, ensuring that all security patches are installed.

Validate the backups, confirming not only that they exist, but also that they can be successfully retrieved.

Raise awareness among the teams, remembering good practice regarding suspicious emails, remote access and the use of devices.

Keep monitoring active, ensuring that mechanisms are in place to identify anomalous behaviour even when part of the organisation is absent.

Security must not take a holiday

Rest periods are essential for people and contribute to more productive and balanced organisations. However, in order for employees to disconnect with peace of mind, it is important that the technological infrastructure remains prepared to respond to potential incidents.

The issue is not about avoiding the use of Out of Office, but by ensuring that the absence of people does not represent an opportunity for those looking to exploit vulnerabilities.

In a scenario where cyberattacks happen every day, security must remain active regardless of the time of year. After all, a resilient business is one that prepares in advance and ensures that, even when the physical doors are closed, the digital doors remain equally protected.

At Quantinfor, we help companies to strengthen their cybersecurity posture by implementing solutions that protect users, systems and information all year round.

Having backups does not guarantee that your company is protected

A backup system only has true value when it guarantees the rapid recovery of information and ensures business continuity.

For many years, most companies asked a simple question about their IT infrastructure: “Do we have backups?” Today, this question in itself is no longer sufficient.

In a context where ransomware attacks, hardware failures, human error and operational disruptions are part of organisations' reality, the existence of an enterprise backup system does not automatically guarantee that a company can quickly resume its operations.

The real issue is quite different: If tomorrow you lost all your systems, how long would it take until you could get back to work?

It is the answer to this question that determines an organisation's recovery capability. And it is precisely at this point that many companies discover they have confused the existence of backups with a true business continuity strategy.

A backup can exist and the company can still lose days of work

Imagine your company performs a backup every night. At first glance, this is an excellent practice. However, if an incident occurs at 5 pm, all information produced since the last backup could be lost. This includes invoicing, orders, ERP changes, documents, emails and all the work carried out by employees throughout the day.

In practice, performing daily backups means accepting the possibility of losing up to a whole day's worth of information. Therefore, the most important question is no longer “How often do we take backups?” and becomes “How much work are we really willing to lose?”

Making backups is simple. Recovery is the real challenge.

Another frequent mistake is to assume that, because a backup exists, recovery will be immediate. In reality, restoring systems can take several hours or even several days, depending on the infrastructure, the volume of information and the recovery strategy implemented.

During this period, the company continues to bear costs while seeing its business compromised. Employees are no longer able to work, invoicing may be interrupted, the ERP becomes unavailable and clients or suppliers stop getting a response. In many cases, the financial impact caused by the downtime far exceeds the cost of the incident that caused it.

More than asking “Can we recover the data?”, it is important to know “How long will we be down until we are back to normal operations?”

An untested backup is merely an assumption

Many organisations run backups daily for years, but few regularly verify whether they can successfully restore the information. This is one of the biggest vulnerabilities in data protection strategies.

A file might be corrupted, a server might not recover properly, an application might stop working after restoration or the procedure itself might depend on a member of staff who is no longer with the company. These problems are rarely identified during the backup process; they are usually only discovered when the organisation is already in a crisis situation.

A disaster recovery strategy can only be considered reliable when it is regularly tested and validated under conditions similar to a real incident.

The backup can also be compromised

Cyber attacks have evolved significantly in recent years. Nowadays, many ransomware attacks first seek to locate and eliminate backup systems before encrypting the remaining servers.

When backups remain permanently connected to the infrastructure, use the same credentials or lack adequate protection mechanisms, they can be compromised along with the rest of the systems. When this happens, the company realises too late that, despite having backups, it no longer has an effective way to recover the information.

The objective is not to protect files. It is to protect the business.

There is a fundamental difference between protecting data and protecting business continuity. Whilst backups aim to preserve information, a business continuity strategy seeks to ensure that the company can continue to operate with the least possible impact.

For this, it is important to answer questions such as:

How long can the company remain closed without compromising its business activity?

Which systems take priority in the recovery process?

When was the last restoration test carried out?

Are the recovery procedures documented and up to date?

Are the backups protected against attacks?

Is there a clear plan to recover all the IT infrastructure?

Answering these questions is just as important as implementing the backup system itself, as it is this preparation that determines the capacity to respond when an incident occurs.

Conclusion

The existence of backups continues to be an essential requirement for any organisation. However, a backup only truly fulfils its purpose when it allows the right information to be recovered, within the necessary timeframe and with the least possible impact on the company's business activity.

The maturity of a protection strategy is not measured by the number of backups performed, but by the ability to ensure business continuity in the event of an incident.

If you have never evaluated how long it would take to recover your systems, how much work you could lose or whether your backups have actually been tested, you may be relying on a false sense of security that has not yet been validated.

At Quantinfor, we help companies implement backup and recovery solutions that go far beyond simple data copying, ensuring greater availability, resilience and business continuity.

ERP for all stages of the business

Why can the right management software accelerate or limit a company's growth?

All companies grow. But not all of them grow in the same way.

Some businesses start with two people and a spreadsheet. Others are born with distributed teams, complex operations and rigorous control needs. Some grow rapidly and need structure almost overnight. Others evolve gradually, adjusting processes over time.

Regardless of the path taken, there is a common point: the time always comes when management can no longer rely on improvised tools. That is where the ERP comes in.

However, there is a frequent error in the market: assuming that an ERP is only for large companies or that there is a one-size-fits-all solution capable of serving any business in the same way.

In reality, an ERP should keep pace with a company's maturity, not condition it.

What is an ERP, really?

Many companies associate an ERP solely with invoicing or accounting. But an ERP is much more than that.

It is the system that centralises critical business information and allows the integration of different operational areas, such as:

financial;

commercial;

shopping;

shares;

logistics;

production;

Human resources;

technical support;

reporting and analysis.

In practice, it acts as the company's “nerve centre”.

When well implemented, it allows you to reduce errors, automate tasks, improve control and support strategic decisions with real data.

The ideal ERP for a startup is not the same as for an established company

Choosing an ERP is similar to choosing a workspace.

A startup doesn't need the same structure as a multinational. But neither can it grow tied to tools that quickly become a hindrance.

The choice must take into account the company's current situation and its capacity for development.

Phase 1: when the company is starting out

In the initial phases, the priority is usually simple: to gain agility.

The teams are small, the processes are still being defined and there is a need for operational speed.

At this stage, companies typically look for:

ease of use;

rapid implementation;

basic financial control;

efficient invoicing;

commercial organisation;

low initial investment.

The problem arises when growth happens and the tools fail to keep pace with the operation.

Scattered Excel spreadsheets, duplicated information and manual processes quickly begin to generate a waste of time and operational errors.

Phase 2: growth and increase in complexity

As the business grows, so do the challenges. More customers. More employees. More processes. More information.

It is at this stage that many companies realise that the systems that initially worked begin to create limitations.

Common signs:

difficulty in obtaining real-time data;

duplication of tasks;

lack of integration between departments;

frequent operational errors;

difficulty in controlling stock or operations;

Inadequate reporting.

Here, the ERP takes on a more strategic role. It no longer just serves to record transactions; it serves to organise growth.

Phase 3: established companies and complex operations

More mature businesses face different challenges. They typically need:

integration between multiple areas;

advanced automation;

data analysis;

scalability;

integration with external platforms;

multi-company or multi-location control;

custom processes.

At this stage, flexibility becomes critical. An ERP that is too rigid can stifle innovation and hinder adaptation to the specific needs of the business.

The mistake of choosing solely based on the present

One of the biggest mistakes when choosing an ERP is thinking only about immediate needs.

A solution may work today, but become a problem within two years.

On the other hand, implementing a system that is too complex for the current reality can also generate unnecessary costs and internal resistance.

The balance lies in finding a solution tailored to the company's current situation, but with the capacity for evolution.

There is no one-size-fits-all ERP for every business

Every business has its own needs.

The sector of activity, company size, internal processes, growth objectives and digital maturity directly influence the choice of the most suitable solution.

That is precisely why a consultative approach makes a difference.

Before technology, there must be diagnosis.

Understanding processes, identifying challenges and grasping objectives is essential to ensure that the implemented solution truly responds to the needs of the operation.

ERP is not just software, it is operational strategy

Many companies view an ERP merely as a technological tool, but the reality is different. The right implementation can bring concrete benefits such as:

increased productivity;

error reduction;

better financial control;

process automation;

better decision-making capacity;

greater operational visibility;

more sustainable growth.

When information is no longer scattered, the company gains the ability to act with greater speed and confidence.

The importance of adaptation and monitoring

Implementing an ERP should not be seen as a closed project. Businesses evolve. Processes change. Needs transform.

Therefore, it is important to ensure continuous monitoring, adaptability and technological evolution over time.

Technology must keep pace with the company's growth, not force the company to adapt to the limitations of the technology.

From start-up to established business: finding the right solution makes all the difference

There is no single formula for all companies. What does exist is the need to find solutions tailored to the reality, size and objectives of each business.

Some businesses need simplicity and speed. Others require advanced integration and high customisation. Many need both at different stages of their evolution.

Choosing the right ERP can make the difference between unorganised growth and sustained growth. And when there is the capability to understand different business realities and adapt solutions to each phase of the business, technology ceases to be merely an operational tool.

It becomes a true growth engine.

Modernising IT infrastructure becomes necessary when regular maintenance can no longer guarantee performance, security and business continuity. Obsolete equipment, recurrent failures, capacity limitations and escalating costs are some of the signs that the time has come to evaluate new solutions.

When maintenance is no longer enough

Why can the right management software accelerate or limit a company's growth?

Imagine a commercial building that is over twenty years old. The structure is still standing, the offices still function and employees are able to work every day without major problems. But there are recurring leaks, the electrical system can no longer handle new equipment and every minor repair entails increasingly higher costs.

The question inevitably arises: is it worth continuing to renovate parts of the building, or does it make more sense to move to a space prepared for current needs?

The exact same thing happens with corporate technological infrastructure.

Many organisations continue to operate on old servers, outdated systems or architectures that were adequate a few years ago, but which today represent operational limitations, security risks and difficulties for growth. At this point, a strategic dilemma arises: upgrade the existing infrastructure or move towards a technological migration?

The answer is rarely simple and making the wrong decision can translate into high costs, operational disruptions and loss of competitiveness.

What does updating the infrastructure mean?

Upgrading consists of improving components of the current infrastructure without profoundly altering the existing architecture.

This may include:

Server upgrades;

Increase in storage capacity;

Operating system updates;

Security reinforcement;

Partial virtualisation;

Network performance improvement;

Enterprise software update.

It’s a bit like renovating a house: you improve what’s already there, extending its useful life.

When is it worth updating?

The update may be the best option when:

The infrastructure still meets the needs of the business;

There are specific, non-structural limitations;

The required investment is reduced;

Current systems continue to be supported by manufacturers;

The operational risk of a migration would be too high.

In such cases, updating saves time and improves performance without the need for a major overhaul.

Signs that maintenance is no longer enough

There are situations in which continuing to invest in outdated systems is akin to trying to modernise a car that has clocked up hundreds of thousands of kilometres: no matter how many new parts are fitted, the underlying structure remains limited.

Some warning signs include:

1. Rising maintenance costs

When the technical team spends more time troubleshooting than evolving systems, there is a structural problem.

2. Incompatibility

Outdated solutions may no longer integrate with modern applications, cloud tools or current security requirements.

3. Cybersecurity risk

Outdated infrastructures become more vulnerable targets for cyber attacks, especially when there are systems without official support.

4. Scalability difficulty

Business growth may require resources that the current infrastructure simply cannot support.

What does a migration involve?

Migrating means altering the technological architecture in a more profound way.

Can you gift wrap it?

Cloud migration;

Replacement of physical servers;

Application modernisation;

ERP implementation;

Network restructuring;

System consolidation;

Implementation of hybrid environments.

In this scenario, we are no longer just “refurbishing rooms”. We are potentially building a new technological structure prepared for the years ahead.

Upgrade vs migrate: how to make the right decision

There is no universal answer. The decision must be based on a technical, operational and financial analysis.

1. Assess the current state of the infrastructure

Before deciding, it is essential to realise:

What is the actual condition of the equipment;

Which systems are end of life;

What are the existing risks;

What critical dependencies exist;

Where are the highest operating costs.

Without a diagnosis, any decision will be based on perceptions, not on data.

2. Understanding the business objectives

Technology must align with the company's strategy.

Important questions:

Does the company intend to grow rapidly?

Are there remote teams?

Is there a need for greater mobility?

Does the business require high availability?

Are there any specific compliance or security requirements?

An infrastructure prepared for the present may not be prepared for the future.

3. Calculate the real cost

Many companies focus solely on the initial investment.

But the actual cost includes:

maintenance;

downtime;

energy consumption;

risk of failure;

lost productivity;

support costs;

impact of security incidents.

Sometimes, maintaining old systems works out more expensive than migrating.

4. Assess operational risks

A poorly planned migration can cause critical disruptions.

It is therefore essential to ensure:

proper planning;

validated backups;

preliminary tests;

contingency plans;

controlled implementation phases.

The role of cybersecurity in this decision

Nowadays, any decision regarding infrastructure must include a security assessment. Outdated infrastructure often features: systems that have not been updated, known vulnerabilities, a lack of monitoring and insufficient backups.

Migrating or upgrading can also be an opportunity to strengthen the organisation’s cybersecurity posture.

A modern infrastructure must incorporate security from the outset, rather than as an afterthought.

Upgrade or migrate? The answer starts with a thorough analysis

It is not always necessary to replace everything. It is not always worth continuing to maintain what no longer keeps pace with the business. The right decision depends on the reality of each organisation.

The most important thing is to avoid reactive decisions and ensure a thorough technical evaluation, aligned with company objectives, information security, and operational sustainability. In practice, the issue is rarely just a technological one.

It is strategic.

And when the infrastructure fails to keep pace with the business, the cost of inaction can be far greater than the investment required to make the change.

Preventative IT maintenance allows the identification of faults, vulnerabilities and upgrade requirements before they affect company operations. Unlike reactive IT support, which is based on solving problems after they happen, continuous monitoring improves the stability, security and predictability of the technological infrastructure.

Technology as a continuous service

For many years, the relationship between businesses and technology followed a predictable pattern.

Something failed. A problem arose. Technical support was called.

The cycle repeated.

At first glance, it seemed sufficient. After all, systems were repaired, incidents resolved, operations resumed. However, this model — essentially reactive — conceals a cost rarely accounted for clearly: instability, disruptions, accumulated risk, and loss of efficiency.

Today, this approach no longer meets the demands of the business context.

When “working” is no longer enough

In an environment where practically all processes depend on technology, the issue is no longer just about solving problems.

The focus has shifted to preventing them from happening.

Modern technological infrastructures cannot be managed like occasional equipment that only requires intervention when it fails. They are living, dynamic and interdependent systems.

Updates, emerging threats, business growth, new integrations, everything evolves continuously.

Ad hoc management does not keep up with this reality.

The problem with the reactive model

The reactive model starts from an implicit premise: to intervene only when there is a visible incident.

Though operationally common, this logic creates vulnerabilities:

Unexpected failures

Downtimes

Unforeseen costs

Impacts on productivity

Accumulated security risks

More importantly, it sets up a silent but dangerous dynamic: technology starts to be perceived as a problem to be solved, rather than a strategic asset to be optimised.

A necessary analogy: The health of the infrastructure

Imagine technology as the health of an organisation.

Nobody expects to fall seriously ill to start looking after their health. Regular check-ups, preventative care and consistent habits reduce risks and avoid critical situations. With technological infrastructure, the principle is identical.

It is not enough to intervene when something “hurts”. It is essential to monitor, evaluate, adjust and prevent. The absence of symptoms does not mean the absence of problems.

Technology as a continuous service

It is in this context that an essential paradigm shift emerges.

Technology ceases to be a set of isolated technical interventions and becomes a continuous service.

This means:

Continuous monitoring

Systematic maintenance

Proactive adjustments

Risk assessment

Evolutionary planning

The focus shifts from correction. It moves to stability.

The Value of Continuous Support

An ongoing relationship allows something that the reactive model can never consistently offer: predictability.

With regular monitoring, it is possible:

Identify anomalies before they cause failures

Anticipate growth needs

Fix silent vulnerabilities

Optimize performance

Reduce critical incidents

Technology starts behaving in a more stable, efficient and business-aligned manner.

From technical intervention to strategic partnership

There is a less visible, but decisive transformation: when technology is treated as a continuous service, the relationship evolves.

Stop being: “resolving problems as they arise” and become: “continuously managing, optimising and protecting”.

This translates into a partnership dynamic:

Deep knowledge of the technological environment

Understanding of business needs

Medium and long-term planning capability

Reduction of reactive and urgent decisions

Infrastructure ceases to be a passive element. It becomes a strategically managed asset.

The hidden cost of reactivity

The reactive model rarely fails catastrophically — it fails cumulatively.

Minor interruptions. Recurring slowness. Isolated incidents. Emergency adjustments. Postponed updates.

Each isolated event seems minor. Taken together, it translates to:

Loss of productivity

Greater operational wear and tear

Increased technological risk

Scattered and unpredictable costs

Prevention as a competitive advantage

In a market where efficiency, availability and security are decisive, technological stability is no longer just a technical concern.

It becomes a competitive advantage.

Organisations that adopt a continuous approach benefit from:

Lower incidence of critical failures

Greater operational predictability

Unexpected cost reduction

Better system performance

Greater resilience

Concluding Remarks

Technological evolution does not tolerate static management models.

The pace of change, the complexity of systems and emerging risks demand a different logic: continuous monitoring, preventative intervention and strategic management.

Because, in today's reality, waiting for something to fail is no longer a strategy — it's a vulnerability.

The impact of Artificial Intelligence on information security.

The scenario is increasingly less hypothetical.

An employee receives an email from the CEO. The language is familiar. The context is credible. The request is urgent. Everything looks legitimate.

Minutes later, it is discovered that no message ever existed. It was generated by artificial intelligence.

The technology that came to transform processes, decisions and business models is also redefining the very concept of digital threat.

AI is no longer the future, it is the technological infrastructure that underpins the business

Artificial Intelligence has quietly integrated itself into organisations.

It is present in productivity tools, analytical systems, decision-support platforms, process automation, and cybersecurity solutions. In many cases, it is used without users being fully aware of it.

And herein lies the first critical point: the more invisible the technology, the greater the likelihood of underestimating its impacts.

AI is not just an additional feature. It is a technological layer with profound implications for how data is handled, decisions are made and risks are managed.

When the threats become more convincing

For years, information security was built on a relatively stable premise: attacks could be sophisticated, but they often presented identifiable signs.

Today, that boundary has become blurred.

Artificial Intelligence makes it possible to generate:

Emails practically indistinguishable from real communications

Highly realistic artificial voices

Contextually credible fraudulent content

Automated and adaptive interactions

Attacks are no longer merely technical; they become psychologically precise.

It is no longer a question of exploiting technological vulnerabilities, but human vulnerabilities amplified by technology.

The complexity of invisible risks

Unlike other technologies, the risks associated with AI are not always immediately evident.

A model may be processing sensitive information without this being perceptible. A tool may be storing critical data outside the organisation's control perimeter. An algorithm may be producing biased or incorrect decisions without generating apparent failures.

It is precisely this silent nature that makes AI particularly challenging from a security perspective.

Data: The real heart of the matter

Artificial Intelligence is, fundamentally, a data-dependent technology.

The more effective the model, the higher the probability that it is consuming large volumes of information, frequently corporate, confidential or sensitive.

Without proper controls, risks arise such as:

Inadvertent exposure of strategic information

Unlawful processing of personal data

Storage in uncontrolled environments

Use of information outside the legal framework

Many organisations adopt AI solutions focused on efficiency, without an in-depth analysis of security and privacy implications.

The Technological Paradox

Artificial intelligence represents both a risk and a solution.

The same capabilities that enable more sophisticated attacks also make possible:

Early detection of anomalous behaviour

Analysis of large volumes of security events

Identification of patterns invisible to the human eye

Faster incident response

The difference lies not in the technology itself, but in the way it is integrated and managed.

The real challenge: Control and strategy

The adoption of AI without a clear security strategy can create a false sense of technological modernisation.

Implementing AI does not automatically equate to safe innovation.

Requires structured decisions:

What data are used?

Where are they processed?

Who controls the models?

What risks are introduced?

How are decisions audited?

Information security now demands an approach that extends conventional boundaries: technical, organisational and strategic.

The human factor remains at the centre

Despite the technological sophistication, the human element remains decisive.

In an environment where fraud, manipulation and simulation become more realistic, the ability of users to think critically becomes even more relevant.

Technology evolves. Risk adapts. Awareness remains essential.

Sustainable innovation requires sustainable security

Artificial intelligence is one of the most relevant technological transformations of the present day.

Ignoring her is not an option. Adopting her without control is not either.

Balance lies in conscious integration:

Risk assessment

Data protection

Technological governance

Continuous monitoring

Proper training

Because, in today's digital landscape, true competitive advantage lies not only in the adoption of technology, but in its secure, resilient and sustainable use.

In a business world increasingly dependent on technology, the stability of IT infrastructure is no longer just a technical concern; it has become a critical factor for the continuity, security and productivity of organisations. Even so, many companies continue to look at IT infrastructure only when something fails.

The truth is simple: stable infrastructure doesn't happen by chance. Just like a secure and functional home, it requires constant monitoring, regular maintenance and careful planning.

IT Infrastructure as a House

Imagine a company's technological infrastructure as a house.

A well-constructed house can be comfortable, efficient and safe. However, even the best construction degrades without care. Small ignored problems turn into serious failures. A poorly closed door compromises security. A neglected leak generates structural damage.

The same applies to computer systems.

Servers, networks, backups, applications and devices form the organisation's digital structure. Without supervision and maintenance, any component can become a point of failure.

Monitoring: Watch before it fails

Monitoring is equivalent to having sensors in a house: alarms, cameras, smoke detectors.

It allows continuous monitoring of the infrastructure state:

Server performance

Resource utilisation

Network status

Intrusion attempts

Abnormal behaviour

Without monitoring, problems are only detected once the impact is already apparent: slow systems, unavailable applications, unexpected outages.

With proactive monitoring, the company can:

Identify faults before they cause outages

Anticipate performance limitations

Reduce downtime

Improve the user experience

More than just a technical tool, monitoring is a prevention mechanism.

Maintenance Preserving what works

No house stays in good condition without maintenance. Painting, electrical checks, replacing worn components, everything contributes to preventing bigger problems.

In IT infrastructure, maintenance includes:

Software and security updates

Vulnerability fixes

Backup verification

System optimisation

Performance tests

Ignoring these tasks is akin to leaving windows unlocked or facilities degraded.

Consistent maintenance allows:

Increase the lifespan of the equipment

Reduce the risk of unexpected failures

Minimise security vulnerabilities

Ensure proper performance

It is important to understand that many tech incidents do not result from sophisticated attacks, but from outdated or poorly maintained systems.

Planning: Preparing the Future

A well-thought-out house does not just respond to current needs, it anticipates the future. Additional space, structural reinforcement, energy efficiency.

Strategic planning of IT infrastructure follows the same logic.

It involves decisions such as:

System scalability

Capacity growth

Adoption of new technologies

Business continuity

Disaster recovery

Without planning, companies frequently end up in scenarios such as:

Infrastructure with reduced capacity

Reactive and costly investments

Technological incompatibilities

High operational risks

With proper planning, it is possible:

Aligning technology with business objectives

Optimise investments

Ensure flexibility and sustainable growth

Reduce risks and disruptions

Stability is not just performance, it is security

A stable infrastructure is not just fast or efficient. It is also secure.

Just like a house with well-protected doors and windows, business systems need:

Access control

Threat protection

Security event monitoring

Update policies

The absence of these elements turns the infrastructure into a vulnerable target.

The Proactive Approach: The real differentiator

Technologically mature companies share a common characteristic: they adopt a preventative approach.

They don't wait for failures. They don't just react to incidents. They invest in:

Continuous monitoring

Systematic maintenance

Strategic planning

This stance translates into clear benefits:

Greater system availability

Unexpected cost reduction

Increase in productivity

Minimisation of operational risks

Security reinforcement

Stable infrastructure, resilient business

In a context where technology supports practically all business operations, the stability of the IT infrastructure directly impacts:

Business continuity

Operational efficiency

Information security

Customer trust

Just as a solid house offers comfort and protection, a well-managed infrastructure offers predictability and security.

Concluding Remarks

Technological stability does not depend exclusively on the quality of equipment or software. It results, above all, from the way infrastructure is monitored over time.

Monitoring, maintaining and planning are not optional tasks; they are fundamental pillars of any organisation that aims to grow securely and with confidence.

Because, in the end, prevention will always be more efficient and less costly than a cure.
